Connect Xero to BilNow

Xero connects with a login, not a token. You log in to Xero once, allow BilNow, and Xero gives BilNow a key that renews itself.

    Click Connect Xero in BilNow

    Open Accounting in BilNow and click Connect Xero on the Xero card. Your browser goes to Xero.

    Log in to Xero

    Use the Xero login that has access to the organisation you want to connect. If you are already logged in, this step is skipped.

    Pick the organisation and allow access

    Xero asks which organisation to connect and what BilNow may do. Choose your company and click Allow access. BilNow only writes invoices, payments and contacts, and reads your account list.

    Choose accounts and switch on auto-sync

    Back in BilNow, pick the Sales account for invoice lines, the bank account that receives payments, and the tax rate to use on SST lines. Set the date to sync from, tick Sync automatically, then Save.

    Done. Each document shows its sync state

    Invoices appear in Xero as approved sales invoices with the BilNow number. Cash sales arrive already paid. Receipts become payments against the matching invoices.

Questions

Will my Xero invoice numbers change?+

No. Xero accepts the number BilNow sends, so INV-0042 in BilNow is INV-0042 in Xero.

Which Xero edition do I need?+

Any Xero plan that lets you add connected apps, which is all current plans. Xero limits uncertified apps to a number of organisations; if a connection is refused for that reason, tell us.

Does BilNow read my Xero data?+

Only the list of accounts and tax rates so you can pick them in the settings. Nothing else is read.

Can I stop it?+

Click Disconnect in BilNow, or remove BilNow under Settings, Connected apps in Xero. Records already in Xero stay there.
